Use the waitlist
A full day doesn't have to turn clients away. When your booking page has no times left, clients can join the waitlist instead, and when a cancellation frees a matching slot, Lime Papaya reaches out to them. Your job is mostly to cancel promptly; the waitlist does the rest.
How clients get on it
- A client opens your booking page and picks a service.
- The day they want is full, so the page offers the waitlist: they tap to join and leave their details.
- Joining twice doesn't duplicate them; the list stays clean on its own.
How slots get filled
- An appointment gets cancelled at the desk (open it, then Cancel appointment in the Move it along card).
- The freed slot is matched against the waitlist, and a matching client gets reached out to automatically.
- If they take it, the booking lands on your calendar like any other online booking.
Example. Thursday with Priya is fully booked, so a client joins the waitlist from the booking page on Tuesday night. Wednesday morning a 2:00 PM cancels. The waitlisted client gets the outreach, takes the slot, and Thursday is full again before the front desk finishes coffee.
Common questions
- Where do I see the waitlist in the app? There's no waitlist screen to work today. It runs behind the scenes: clients join from the booking page, and freed slots trigger the outreach automatically.
- What makes a slot "match"? The freed time has to fit what the client asked for when they joined. A facial cancellation doesn't offer a massage slot.
- How do slots get freed? Cancellations. That's why cancelling promptly (instead of leaving dead chips on the book) is the habit that makes the waitlist pay.
- Can I add someone to the waitlist at the desk? Not from a staff screen today. Point them at your booking page; joining takes them under a minute.
Good to know
- The waitlist is part of online booking, so it needs your booking page live and shared to do anything.
- Waitlisted clients who never get a slot never hear from it; nobody gets a "sorry, still full" message.
