Add your staff and providers
Get your team in with the right permissions from day one. Providers (the people clients book time with) are staff you mark as bookable; everyone else gets a role that matches what they should see and do.
Who can do this: Owner or Admin.
Invite someone
- In the left sidebar, click Settings, then open the Staff tab.
- In the Invite staff card, enter their Full name and Work email. They'll sign in with that email.
- Pick a Role. What each role can do is below.
- If clients book time with this person, tick Bookable for appointments.
- Click Invite staff. They appear in the Staff list; bookable people show a "Bookable" tag.
The roles:
- Owner. Everything, including handing out the Owner role.
- Admin. Everything an owner does, day to day.
- Manager. Staff, services, refunds, reports.
- Front desk. Booking, checkout, messages.
- Provider. Their own schedule and their own clients.
- Read only. Can look, can't change.
Example. Golden Coast invites Priya Shah, priya@goldencoast.com, role Provider, with Bookable for appointments ticked. Priya now shows up as a choice when anyone books an appointment, and clients can pick her online.

Change a role later
- Go to Settings, then Staff.
- Next to the person, pick the new role from the dropdown.
- Click Update.
Only an owner can grant the Owner role.
Common questions
- They can't sign in? They sign in with the exact work email you entered. Check it for typos in the Staff list.
- A provider isn't showing up when I book? Two checks: their Bookable for appointments box is ticked (look for the "Bookable" tag in the Staff list), and they offer the service you're booking.
- Can a provider see other providers' clients? A Provider sees their own schedule and clients. Give someone Front desk or Manager if they work the whole book.
- Who can change roles? Owners and Admins. Handing out the Owner role itself takes an owner.
Good to know
- Payroll periods and commission plans live under Staff in the left sidebar, separate from the invitations here in Settings.
- Each provider's working schedule controls which times clients can book with them online.
