Set your cancellation window
The cancellation window is the cutoff for client self-service changes: outside it, clients reschedule and cancel themselves from their booking link; inside it, the buttons go away and they have to call you. It protects the hours you can't refill.
How it works
- Every appointment booked online carries your window, 24 hours by default.
- Outside the window, the client's manage page offers Reschedule and Cancel appointment.
- Inside the window, those options disappear and the page says: "Changes must be made at least 24 hours ahead. Please call us."
- Your desk is never blocked. Staff can cancel or reschedule any appointment at any time from the appointment page.
Example. Golden Coast runs the default 24-hour window. A client with a Friday 3:00 PM tries to cancel Friday morning from her link. The page offers no cancel button, tells her changes need 24 hours, and she calls the desk, which fills the slot from the waitlist instead of eating it.
Common questions
- Where do I change the number? The window isn't in the Settings screens yet; accounts run the 24-hour default unless configured otherwise. The rest of the behavior on this page is live today.
- Does it stop me from making changes? No. It only gates the client's self-service buttons. The desk always has full control.
- Does it charge a late-cancel fee? No automatic fee today. If your policy charges one, run it at the desk.
- What exactly does the client see inside the window? Their booking details, minus the change buttons, plus the "call us" line above. Nothing about it reads like an error.
Good to know
- The window counts back from the appointment's start time in the location's timezone.
- Pairing the window with a deposit is what gives it teeth.
