Add notes to a client
Notes are how the next person picks up where you left off: the color formula that worked, the skin that reacts, the "always runs ten minutes late." Write it once and the whole team knows.
Who can do this: Owner, Admin, Manager, or Front desk (providers can note their own clients).
Add a note
- Open the client from Clients.
- In the Notes card, type into Add a note.
- Pick the kind: General, Service, Color formula, or Medical.
- Click Save note. It appears in the list with its kind and when it was written.
Which kind to pick:
- General. Preferences, quirks, logistics. "Prefers afternoon appointments."
- Service. What happened in the chair and what to do next time.
- Color formula. The recipe. These also surface in the record's Color formulas card.
- Medical. Reactions, contraindications, anything clinical. Keep it factual and minimal.
Example. After Sarah's Hydrafacial, Priya saves a Service note: "Skin reactive around the nose. Skip the enzyme peel next visit; used the sensitive serum instead." Next month a different provider reads it before Sarah sits down.
Common questions
- Who can read notes? Staff with access to the client. Clients never see them.
- Can I edit or delete a note? Notes are a running log; write a fresh note that supersedes the old one. That keeps the history honest.
- Where do color formulas live? Save them as Color formula notes; the record shows them in their own card so they're never buried under general chatter.
- What belongs in Medical versus Service? Medical is for clinical facts (reactions, contraindications). Service is for craft (what you did, what to do next).
Good to know
- Notes ride along in your data export, and imported notes from your old software land here too.
- A short note beats no note. "Patch test first" has saved more appointments than any paragraph.
